Take payment at the venue

How each guest's check adds up, and how your staff record a payment — from a bill request, at the table or for a pickup — or write off a bill nobody will pay.

Guests pay your staff at the venue, in cash or by card terminal; they can't pay online from the menu. Your staff then record how each bill was paid on the Orders page. The order shows as Paid on the board, the floor and in the history, the guest's phone says it is paid, and the receipt goes out if the guest asked for one.

Who can do this: Owner and Admin, and at their location: Location manager, Shift lead, and Floor staff

How a check adds up

  • One check per guest. Everything a guest orders during a visit goes on their check: each new order — from their phone or placed by staff for them — joins it.
  • One check per pickup order. A pickup order is paid on its own.
  • A joint bill is one guest's check with the checks of everyone they pay for, paid together — see Serve tables.

A check's total is its dishes, less anything staff took off, plus the service fee and VAT where they are added, plus the tip. A check is Open until it ends in one of three ways:

StatusWhat happened
PaidStaff recorded the payment.
Written offNobody will pay it, and staff wrote it off.
VoidedNothing on it was owed any more: every order on it was rejected, withdrawn or taken off.

A paid or written-off check never changes again.

When a guest asks for the bill

The request arrives on the board as a Bill ticket, with the table and how the guest said they will pay. Take the bill or the card terminal to the table, then:

  1. Mark the request done

On the board, select Done on the Bill ticket. A dialog shows what the table pays.

  2. Choose how they paid

Under How the table paid, choose Cash, Card terminal or Other. It starts on what the guest said: card means the terminal.

  3. Confirm

Select Mark paid and done. Not yet closes the dialog and leaves the request open.

  1. How the table paid, starting on the guest's choice.
  2. Mark paid and done records the payment and closes the request.

A guest who asked from their own bill pays for their check and every check it pays for. A request sent from the table without ordering covers every bill of the table.

Record a payment at the table

When a guest pays without asking first, or you want to adjust the tip or send a receipt:

  1. Open the table

Open Orders, then Tables, and select the table.

  2. Open the guest's bill

Under Bills, select Record payment on the bill. On a joint bill, it is on the paying guest's bill.

  3. Fill in the payment

Choose How the table paid. If the guest left a different tip — in cash, or on the terminal — change the Tip; the tip shows when you offer tips or the bill already has one. To send a receipt, type the guest's address in E-mail receipt (optional).

  4. Record it

Select Record payment. The bill reads Paid, with the method and the time.

  1. How the table paid.
  2. Tip, as the guest left it.
  3. E-mail receipt (optional).

Record a pickup payment

On the board, select Details on the pickup order, choose how it was paid under Record payment and select Record payment. The same form is in the details of any order on the board; for an order at a table, it records the payment of the guest's whole bill.

When the amount has changed

The amount you confirm is the one on your screen. If the bill changed in the meantime — another order arrived, a dish was taken off, the guest changed the tip — nothing is recorded: you see the new amount instead. Check it with the guest and confirm again.

Write off a bill

When guests leave without paying, write their bill off so the table can be freed.

Who can do this: Owner and Admin, and at their location: Location manager and Shift lead

  1. Open the bill

Open the table and find the bill under Bills.

  2. Write it off

Select Write off, choose Left without paying or Other reason, and select Write off.

The check closes unpaid, together with every check it pays for, and its orders read Written off. Written-off orders are kept apart from your sales.

After the last payment

Once every bill of a table is paid or written off and nothing is left in the kitchen, the visit ends: a bill request still open at the table closes with it, and the table shows Free again. A table that still has an order in the kitchen stays open until the order is done.
