Manage reservations

Answer new requests, record bookings taken by phone, reschedule, and erase a guest's data when they ask.

Every request from your venue page and every booking your team records lands on the Reservations page, one location at a time. From there you answer requests, follow tonight's parties and look a guest up.

Who can do this: Owner and Admin, and at their location: Location manager, Shift lead, and Floor staff

Open the list

Click Reservations in the sidebar. It is there when your plan includes reservations and your role covers them at one location or more. If you work at several locations, pick one in Location: the list shows only the locations your role covers.

  1. How many new requests at this location wait for an answer, whatever the filters.
  2. Upcoming lists today's reservations, earlier ones included, and later ones, soonest first. Past lists the days before, most recent first.
  3. Search by phone number, email or name. A search covers upcoming and past reservations, so you see a guest's history.
  4. Show one status only.
  5. New reservation records a booking taken by phone or at the door.

The list refreshes by itself while it is open: a new request appears without reloading the page.

Answer a request

Click a reservation to open it. You see the visit, everything the guest told you, the note for the team and a timeline of what happened, with a button for each step its status allows.

  1. The next steps: here Mark arrived, Cancel or No-show.
  2. Edit reschedules the visit or corrects the guest's details.
  3. Erase guest data deletes the guest's personal data.

Reopen puts a reservation back among the new requests. Reservations are never deleted: a declined, cancelled or no-show reservation stays in the list, with the guest's history.

If a colleague moved the same reservation a moment before you, your step is not saved and the reservation reloads with theirs.

When guests send a request, they read that the venue will contact them to confirm. Call or write to them once you have answered, using the contact they left.

Record a booking taken by phone

  1. Start a new reservation

    Click New reservation.

  2. Fill in the visit and the guest

Enter Date, Time, Guests and the guest's Name. A phone number, an email and the guest's comment are optional. Note for the team is for your team only: guests never see it.

  3. Record it

Click Record. The reservation is Confirmed right away, and it opens so you can check it.

A booking your team records is not held to the guest form's rules, so you can take one outside them: a large party, or a time the form does not offer.

Reschedule or correct a reservation

Open the reservation and click Edit. Change the date, the time, the number of guests, the guest's details or the note for the team, then click Save. The timeline records the change.

Erase a guest's data

When a guest asks you to delete their data, open their reservation, click Erase guest data and confirm with Erase.

Erasing deletes the guest's name, phone number, email, every answer and the note for the team for good. It cannot be undone.

The visit itself stays: its date, time, number of guests and status, shown in the list as Guest data erased. Afterwards you can still reschedule it, but not add guest details. Table QR also erases the guest's details by itself a year after the visit.
