Turn on table reservations

Let guests ask for a table from your venue page, and decide what the form asks and when guests can book.

On this page

Guests ask for a table from your venue page, with a form you design, and each request waits on the Reservations page for your team to answer. Switch reservations on for every location at once, or for one location at a time.

Who can do this: Owner and Admin, and at their location: Location manager, Shift lead, and Floor staff

Before you start

  • Your plan includes reservations: On Pro and Ultimate, or with the Table reservations add-on. Without them, the reservation settings show the plans instead of the form — see Change your plan or add-ons.
  • The location has its time zone and opening hours — see Create a location. Guests book on the venue's clock, and only while it is open unless you say otherwise.
  • Your email address is confirmed: switching reservations on needs it the first time.

Turn them on for every location

  1. Open the reservation settings

    Open SettingsReservations.

    1. Take table reservations switches reservations on for every location.
    2. Each question of the form is Off, Optional or Required.
  2. Switch reservations on

Turn on Take table reservations. Every location then shows Book a table on its venue page, unless its own settings switch it off.

  3. Choose what the form asks

Under Form, set each question to Off, Optional or Required. The date, the time and the number of guests are always asked.

    • Ask for a phone number, an email, or both: you need a way to reach the guest. When both are optional, the guest leaves at least one.
    • Seating offers the seating areas you list in the rules below.
    • A required High chair or Marketing consent is a box every guest must tick to send the request. Leave them optional unless that is what you mean.
  4. Set when guests can book

    Under Rules:

    • Book at least: how many minutes before the visit a request must come in.
    • Up to: how many days ahead guests can book.
    • Party size up to: the largest party the form offers.
    • Times every: the times guests pick from, every 15, 30 or 60 minutes.
    • Only during opening hours: only times when the venue is open. A venue without opening hours takes any time.
    • Seating areas: the areas guests choose from, separated by commas.
    • House rules: a short text in each of your languages, shown above the button that sends the request.
  5. Save

Click Save. The form and the rules apply to every location that does not have its own.

Change one location

A location follows the organization's reservation settings until you give it its own. Open the location from Locations and go to its Reservations tab. Each part is Inherited or Overridden:

  1. Takes reservations: on or off at this location, whatever the organization's switch says. Here the location takes reservations while the organization's switch is off.
  2. Form: a form of its own.
  3. Rules: rules of its own.

A form or rules of its own replace the organization's whole, so later changes in Settings no longer reach this location. Reset to inherited goes back to the organization's. Click Save when you are done. How inheriting works everywhere: Inheritance and overrides.

What guests see

While a location takes reservations, its venue page shows Book a table. It opens the form, where guests pick a day and a time your rules allow, answer your questions and send the request. You can also send guests to the form directly with the booking link.

Each request arrives as New on the Reservations page — see Manage reservations.

Switched off again, the venue page no longer shows the button, and the booking link says the venue does not take reservations online. Reservations you already have stay in your list.
