Invite your team
Invite people to your organization by email with the roles they need, follow up on pending invitations and remove someone who has left.
On this page
Everyone who works in your dashboard signs in with an account of their own. You add a person by sending an invitation to their email address, and the roles you pick in it decide what they can see and do.
Who can do this: Owner and Admin, and at their location: Location manager
Before you start
- Your own email address is confirmed: sending an invitation waits for it — see Confirm your email address.
- Your plan has a seat free. Every member and every pending invitation takes one; how many your plan includes is on Limits and usage.
- You know which roles to give. What each one allows is on Roles and what they allow.
Find your team
Open Team. The Members tab lists everyone in the organization with their roles, the newest first; a location role shows how many locations it is held at. The invitations nobody has accepted yet are listed below the members.
- Invite member starts an invitation.
- Edit changes the person's roles — see Give someone different roles.
- The bin removes the person from the team.
A location manager sees here only the people of their own locations, and a shift lead sees that list without changing it.
Invite someone
Start the invitation
Open Team and select Invite member. From anywhere in the dashboard, you can also search for Invite team member — see Search and jump with ⌘K.
Enter their email address
Type the address under Email. The person signs in with this address, so use the one they will work with.
Choose their roles
Under Roles, tick the roles they need. A role among Organization roles applies everywhere. A role among Location roles applies only at the locations you tick under it; All locations ticks every one. You can combine several roles of both kinds. The list offers only the roles you may give — see Nobody gives more than they hold.
Send it
Select Send invite. The invitation appears below the members, marked Pending.
- A location role, with the locations it applies at: here, one venue.
- Send invite sends the email.
Someone who is already in the organization can't be invited again; give them different roles instead. Setting up waiters, cooks and shift leads for one venue is walked through on Set up your floor and kitchen staff.
What the person receives
They get an email from Table QR with a button that opens the invitation. Someone new to Table QR sets their name and password there; someone who already has an account signs in with the invited address. Either way, they join with the roles you chose — what they see is on Join a team that invited you.
When they join, they move from the invitations to the members, and you get a notification in the dashboard unless you switched that one off — see Notifications.
Follow up on a pending invitation
- Pending: the person has not accepted yet.
- Resend sends the email again.
- Revoke withdraws the invitation.
- An invitation lasts seven days. After that its link no longer works. Resend sends a new email with a fresh link and gives the invitation another seven days — use it too when the first email went missing.
- Revoke takes the invitation back: its link stops working at once, and the seat it held is free again.
- One invitation per address. To change the roles of a pending invitation, revoke it and invite the person again.
When every seat is taken
A pending invitation takes a seat, like a member, until it is revoked or its seven days run out. When your plan's seats are all taken, a new invitation can't be sent until you free one — revoke an invitation or remove someone — or move to a plan with more. Your seats and how many are in use are on Limits and usage.
Remove someone
Who can do this: Owner and Admin, and at their location: Location manager
On the Members tab, select the bin at the end of the person's row and confirm with Remove. They lose access to the organization at once; their account stays theirs, and the changes they made stay in the activity log.
The owner can't be removed: their row shows a lock instead of the bin. To leave the business to someone else, see Transfer ownership.
