Find past orders and export them
Look up a location's past orders by day, number, pickup name, status, payment or table, open one, and export them as a spreadsheet.
The History view of the Orders page lists a location's past orders — every order that reached your staff, whatever became of it — the newest first. It answers questions like "was table 7 paid last night?" or "which pickups are still unpaid today?", and exports the orders for your accountant.
Who can do this: Owner, Admin, and Finance, and at their location: Location manager, Shift lead, Floor staff, and Kitchen
Open the history
Open Orders and select History. If you can see more than one location, choose one in Location.
Each row shows the order's number, the day and time it was placed, its table or pickup name, how many items it holds, its total, its status and whether it is paid. Items staff took off are not counted, and the total leaves them out.
- Dates: the last 7 days unless you choose others.
- The filters: Status, Payment, Service and Table.
- Export orders saves these days' orders as a spreadsheet.
Find an order
- Days. The history shows the last 7 days, today included. To see others, open the dates button, set From and To, and select Show. You can pick up to a year at a time.
- Search. Type an order number or a pickup guest's name in the search box.
- Filters. Narrow the list by Status (Placed, Completed or Cancelled), Payment (Paid, Not paid or Written off), Service (Dine-in or Pickup) and Table. A table filter finds every order placed at that table, on any visit.
When nothing matches, Clear filters brings the whole list back. The days, the search and the filters are part of the page's address, so you can bookmark "last Friday's unpaid pickups" or send a colleague a link to it.
Days start at 5 a.m.
The history counts business days, on the location's clock: a day runs from 5 a.m. to 5 a.m. the next morning, so an order placed at 1 a.m. belongs to the night before. Order numbers start again from 1 every business day, so the same number can come back on another day — the row's date tells them apart.
Open an order
Select a row to open the order: its dishes and what was taken off, the charges, its check and how it was paid, the kitchen ticket and every step of its history. It opens read-only — record payments on the board or in Tables, where the whole bill is in front of you — see Take payment at the venue.
Export orders
Who can do this: Owner, Admin, and Finance, and at their location: Location manager and Shift lead
Choose the days
Set the days in the history as above. The export covers the days shown, at this location; the other filters and the search don't narrow it.
Export
Select Export orders, then Orders for one row per order, or Order lines for one row per dish ordered. Your browser saves a CSV file, which opens in any spreadsheet.
What's in the file:
- Orders: the business day, when the order was placed (in UTC and on the location's clock), the location, order number, table, dine-in or pickup, status and why it was cancelled, the currency, subtotal, service fee, VAT, included VAT and total, the number of items, and its check: status, how and when it was paid, when and why it was written off, and the bill that paid for it on a joint bill.
- Order lines: the business day, location, order number and status, then each dish with its size, add-ons, unit price, quantity and line total.
Amounts are in the currency's usual units, such as 12.50, and leave out what staff took off. Dish names are in your organization's default language. Guests' names, notes and email addresses are never exported.
