Create a custom role

Build a role with exactly the permissions a job needs, for the whole organization or for locations, give it to your team, and change or delete it later.

When no preset fits a job, create a role of your own and pick its permissions one by one — say, a bar manager who runs the bar's orders and also sets the bar's own prices, which no preset location role does.

On Ultimate. On other plans, the Roles tab offers an upgrade in place of Create custom role.

Who can do this: Owner

Before you start

  • Decide where the role applies. An organization role applies everywhere; a location role is given at the locations you choose, like the presets in Location roles. You choose once: a role's scope can't be changed later.
  • Know what a location role can hold. Only what makes sense at one venue — its details, the menus it serves, overrides, prices and the stop list, QR codes, ad pixels, ordering, orders, reservations, sales and its team. The editor shows only those.
  • Check the presets first. What each one allows is on Roles and what they allow.

Create the role

  1. Start a new role

Open Team, go to the Roles tab and select Create custom role below the list of roles.

  2. Name it

Type the role's name in Role name. Your team sees it in the role lists, so name it after the job. Two roles can't share a name.

  3. Choose where it applies

Select Organization or Location. Switching clears the permissions you picked, because the two offer different ones.

  4. Pick its permissions

Each group — Menus, Prices, Orders and the rest — lists its actions; select one to grant it, again to take it back. In an organization role, the switch next to a group grants the whole group, including any action added to it later.

  5. Create it

Select Create role. The role joins the list with the Custom tag.

  1. Organization or Location: where the role applies.
  2. The switch grants a whole group.
  3. Create role saves the role.

Give it to someone

A custom role is offered wherever roles are given, next to the presets: among Organization roles or Location roles when you invite someone or give someone different roles.

Change or delete it

Select the role on the Roles tab.

  1. Create custom role starts another role.
  2. Edit permissions lets you rename the role and change its permissions.
  3. Delete removes the role.
  • To change it, select Edit permissions, rename it or pick its permissions, and select Save changes. Everyone who holds the role has the new permissions from their next action.
  • To delete it, select Delete and confirm. A role someone still holds can't be deleted: give them other roles first — see Give someone different roles.

The same people who create roles change and delete them.

If your plan changes

The custom roles you made keep working on any plan, and you can still change or delete them. Only creating a new one needs a plan that includes custom roles.
